How to Create and Sync a Work Order from Followup CRM to Vista

This walkthrough describes how to create and sync a work order from Followup CRM to Vista, ensuring the service site and customer are properly linked.

Step-by-step

🔁 Before You Start

Make sure:

✅ Service Site modules and Work Order modules must already be mapped.
✅ The customer you add in the Company Information section must already exist as an SM Customer in Vista.
✅ The company must be linked with Vista in Followup CRM.



✅ Step 1: Go to the Company Page

  • Navigate to the company record in Followup CRM.

  • Confirm that the company is connected to Vista.


✅ Step 2: Ensure the Customer is Linked in Vista

  • Confirm the existing customer is imported and properly connected.

  • Check that it is also set up in Vista as an SM customer.


✅ Step 3: Create a Work Order

  • In Followup CRM, choose to create a new Work Order.


✅ Step 4: Select Work Order Type

  • When prompted, choose the work order type as "Customer".

  • Click Next.


✅ Step 5: Select the Company

  • From the Company Information section, select the appropriate company.

  • Click Next.


✅ Step 6: Verify and Load Service Sites

  • The system will:

    • Verify it's linked to an SM customer in Vista.

    • Load the associated service sites.

  • Select the appropriate Service Site from the dropdown.

  • Click Continue.


✅ Step 7: Sync Happens Automatically

  • The system:

    • Creates the Work Order with the mapped fields.

    • Simultaneously pulls in Service Site data.

    • Connects the Work Order to the Service Site in Vista.

  • Note: It cannot create a Service Site from Followup, but it can pull data in from an existing one when mapped.


✅ Step 8: Confirm Mapped Fields Populated

  • You’ll see fields such as:

    • Service Site name

    • Service Site ID

    • Default Service Center Code

    • Mapped address fields, etc.

  • All data is pulled based on your mapped fields.


✅ Step 9: Validate the Sync in Vista

  • Check the logs or status to confirm sync was successful.

  • Look for:

    • Work Order number created in Vista (e.g., #176).

    • Correct Service Site and Service Center linked.

  • Optionally, verify the work order by searching it in Vista.


📝 Notes

  • If desired, you can push info to the Work Order and pull from the Service Site in the same step.

  • This works best when fields are properly mapped beforehand.
