How to Set Up the Followup CRM to Viewpoint Vista Integration in App Xchange

In this article, you'll learn how to complete the full Followup CRM to Viewpoint Vista integration workflow, from Vista user setup through module mapping and sync readiness.

Overview

This guide covers the complete setup process for integrating Followup CRM with Viewpoint Vista using App Xchange.
You’ll create the required Vista service user, deploy the customer workspace, configure all required connections, run one-time onboarding, and map modules and fields for ongoing synchronization.


Step-by-Step Instructions

🧩 Phase 1: Create the Vista service user and prepare agent installation

  1. In Vista, go to Viewpoint Administration → Programs → VA User Profile.
  2. Create a new user record.
  3. Enter a username, set User Type = User Application, then complete full name and email.
  4. Save the user and confirm the SQL login creation prompt.
  5. Set and confirm a secure password for the SQL user.
  6. Review VA Data Security Setup and confirm required security scope.
  7. Assign the required security groups to the service user.
  8. In App Xchange, open Connectivity → On-Prem Agents and copy the page URL.
  9. Submit a Trimble support case with:
    • Vista server name
    • Vista service username
    • On-Prem Agents page URL

⚠️ Important: Do not include the Vista service-user password in the support case.


🏢 Phase 2: Deploy the customer workspace in App Xchange

  1. In App Xchange, start a new customer deployment.
  2. Select Followup CRM to Viewpoint Vista and continue.
  3. Select all approved customer deployment features.
  4. Name the workspace using your standard naming format (for example: Customer Name - FollowupCRM to Vista).
  5. Enter the authorized customer email and send the invitation.
  6. Customer accepts the invite and signs in (or creates a Trimble account if needed).
  7. Open Customer Workspaces and select the new workspace.
  8. Confirm the workspace dashboard loads successfully.

🔐 Phase 3: Configure Followup CRM, HTTP, and Vista connections

  1. In Followup CRM, open ERP Integration and generate a new App Xchange connector token.
  2. Copy and store the token immediately.

⚠️ Important: The connector token is shown only once.

  1. In App Xchange workspace, add required connections:
    • Followup CRM
    • HTTP
    • Vista
  2. Configure the Followup CRM connection:
    • Select correct environment/base connection
    • Enter connection name
    • Paste token as API key
    • Select Vista as source system
    • Test and confirm status = Connected
  3. Configure the HTTP connection:
    • Select environment
    • Enter approved base URL
    • Configure API key authorization header
    • Add test endpoint
    • Confirm test returns HTTP 200
    • Confirm status = Connected
  4. Configure the Vista connection:
    • Select installed App Xchange agent
    • Enter Vista server, database, service username, and password
    • Add attachments database details if used
    • Test and confirm status = Connected

✅ Proceed only when all three connections show Connected.


🚀 Phase 4: Enable features and run one-time onboarding

  1. Confirm Followup CRM, HTTP, and Vista connections are all connected.
  2. Open Features and set onboarding mode to Onboarding.
  3. Enter the approved Vista JCCo (job cost company code), then save.
  4. Open Jobs and run the one-time onboarding cache job.
  5. Monitor Job History until:
    • Parent job = Finished
    • All child services = Finished
  6. Return to Features and enable approved production features (for example: Customers, Jobs, Residential Contacts, Sync Requests).
  7. Enter approved company codes for job cost, accounts receivable, and service management where required.
  8. Set onboarding mode to Off and save.
  9. Confirm:
    • Connections are healthy
    • Production features are active
    • Company codes are correct

⚠️ Critical: Always turn onboarding Off after initial load.


🗂️ Phase 5: Configure module and field mappings

  1. In Followup CRM ERP Integration, click Check Status.
  2. Confirm Vista connector status is verified, then open Settings.
  3. Click Add Mapping and select the Followup CRM module and corresponding Vista module.
  4. Open View Mapped Fields.
  5. Map all required fields first, then approved optional fields.
  6. For standard Vista project workflow, confirm mappings for:
    • Job Number
    • Description
    • Mailing Address
    • Mailing City
    • Mailing State
    • Mailing Zip
  7. Review mappings carefully and close the panel to retain configuration.
  8. Repeat for all modules in customer scope.

✅ Integration is ready for validation and synchronization after mapping is complete.
