How to Bulk Import Projects and Customers from Sage Intacct into Followup CRM

Use the bulk import feature to bring in all your Sage Intacct projects and customers — or filter by date range — directly into Followup CRM.

 

 

Step 1 — Locate the bulk import buttons

  1. In Followup CRM, go to the ERP Integration tab connected to Sage Intacct.

  2. Locate the bulk import buttons for the Projects and Customers modules. 📂

  3. These buttons allow you to bring all your projects (jobs) or customers from Sage Intacct into Followup CRM.




Step 2 — Choose what to import

  1. Click on the Import Projects or Import Customers button.

  2. You’ll see options to either:

    • Import all projects, or

    • Import projects from a specific date range. 🗓️

  3. The date filter uses the Start Date field from Sage Intacct.

  4. Select your start and end dates, or choose All Projects to include every record.


Step 3 — Review update options

  1. After setting your import range, click Next. 🚀

  2. You’ll be prompted with:
    “Would you like to update any jobs that are already synced based on the fields mapped?”

  3. This means that any existing projects in Followup CRM will be updated using the mapped fields (as defined in the Mapping Settings window). ⚙️

  4. If you select Yes, existing records will be updated.

  5. If you select Skip, only new projects (not already in Followup CRM) will be imported.


Step 4 — Run the import

  1. Once you confirm your choice, the bulk import process begins automatically. 🔁

  2. The time required depends on the volume of projects or customers in Sage Intacct — from a few minutes up to an hour for large datasets. ⏱️

  3. You can navigate to the Projects or Customers page in Followup CRM to monitor progress.


Step 5 — Monitor progress and completion

  1. Refresh your page — you may see new records start appearing in real time. 🔄

  2. When the import finishes, a notification banner will appear at the top of the page. 🔔

  3. The banner displays the total number of records imported (e.g., “145 projects imported successfully”).

  4. You can verify by checking the Last Updated timestamp on your project list — it will reflect the most recent import date.


Step 6 — Repeat for customer imports

  1. To import customers, follow the same steps using the Customer module button. 👥

  2. The process, options, and notifications are identical to the project import.

  3. Imported customers will appear in your Company section in Followup CRM.


Best practices

  • Always verify your field mappings before running a bulk update. ⚙️

  • Run imports during low-traffic hours to minimize sync delays. ⏳

  • Use the Skip option when testing to avoid overwriting existing records. ✅

  • Keep track of imports with screenshots or logs for audit purposes. 🗂️
