In this article, I will show you how to create new users in the People's Tab
When adding a new user, we will use the Create User button here on the People Tab in Company Settings.
I will be prompted to enter the email address of the new user, and I can enter more than one at the same time. I'll start by entering the first one and pressing Enter—it will be added automatically. Then I can enter the second one, press Enter again, and continue like that.
We now have the option to upload a CSV file to create multiple users at once, which streamlines the process significantly.
Once I've entered the ones that I want to add, I will click Next. Now, I'm going to be prompted to select how I want to grant this user access.
This is based on the permissions that we will be able to uniquely assign to each user.
- Start from scratch: This will create permissions specifically for this user that is specifically unique to them.
- Start with a template: This would be by copying from another user's permissions or using a permission set that I have pre-made and can load in per user, uh, through a template.
- Make SystemAdmin, this assigns all permissions to a user. This grants them full access to the system without any restrictions at all.
If I choose to Start with a template, I’ll see a drop-down with all the pre-loaded presets. These are fully customizable for each team and can be edited as needed.
I’ll also be able to scroll down and see all existing users in the system. From there, I can copy another user's permissions to the new user—so if I’ve previously assigned specific permissions to someone and want the new user to have the same setup, I can simply find that user in the list.
I’m going to come back here and Start from scratch so I can view all of my options for permissions.
Once I’ve selected my option, I’ll see a drop-down that allows me to choose the specific permissions. As I scroll down, I’ll be able to see all of the available options.
Now, for the different parts of the site where unique permissions can be applied—if I check this box right here, it will automatically expand all of the drop-downs so I can easily see what’s included in each section.
We have the following main sections where permissions can be applied:

If I want to assign unique permissions to this user, I’ll find options for the following actions:

View
-
Edit (which also includes the ability to create new items, such as projects)

Delete
-
Export
For example, the Edit permission allows the user to both create a new project and make changes to an existing one.
Under the View permission options, I can choose to assign one of the following:

All – The user can view every project in the system.
-
Assigned – The user can view only the projects they are directly assigned to.

Assigned to Those who report to them – The user can view projects assigned to team members who report to them.
This last option is especially useful for users who are managers and have other users assigned to them as their direct reports.
For the Edit permission, I have the same set of options available:

Assigned to Those who report to them
Or, I can choose None if I only want the user to have view-only access. This provides flexibility depending on the level of access the user needs.
The Delete permission follows the same structure

For the Export permission, the options are simpler:

All – The user can export data from the Projects page.

None – The user cannot export any data.
Enabling Export allows the user to generate and download a report of the specified project data directly from the Projects page.
The Company and Contact sections have similar permission structures to each other.
For both, you’ll find the following options:

View – All
-
Edit – Options are All or None.
-
Delete – Options are All or None.
-
Export – Options are All or None.
The Reporting tab controls access to the reporting section, which includes the ability to run and export reports.
For this permission, the options are:

All – The user can access, run, and export reports from the reporting section.
-
None – The user will not have access to the reporting section.
This permission is essential for users who need to work with reports or generate data insights.
If your team integrates with one of our supported ERPs, you’ll see the ERP Integration section, where you can control what a user is allowed to do within that integration.
The available options are:

Connect – Allows the user to connect a project, company, or contact to the ERP system.

Update – Allows the user to make updates to records that are already connected.
-
Sync – Allows the user to manually sync data between the systems.
For example, if you want a user to be able to update and sync a project but not connect it to the ERP, you can simply select Update and Sync only. The unselected action will be restricted for that user.
These same options apply to Companies and Contacts as well.
The final section is Company Settings, where you can now specify exactly which parts of the settings a user can access.
If you only want a user to access a specific section—such as Project Data—you would simply check that tab alone. The same applies to other areas like Required Fields, Sales Activities, and more.
This granular control allows you to tailor user access to specific parts of the Company Settings, ensuring they only interact with the sections relevant to their role.
The Enterprise tab is designed for teams using the enterprise version of the platform who want to specify team-based access.
By default, most users have global access, meaning they can view and interact with all teams within the enterprise system.
If you want a user to have access to all teams, simply check the box in this section.
If you leave it unchecked, the user will only have access to the specific team they are assigned to.
This feature helps enterprise teams maintain control over team visibility and permissions at scale.
Once you've made your selections for all of the desired permissions, click the Next button.
This will take you to a review screen, where you can see a summary of the permissions you've assigned for each respective section. It’s a helpful way to double-check that everything is configured correctly before saving.
At the top of the screen, you’ll see the option to assign the user to a specific team.
You’ll be able to select from the teams you currently have access to, based on your own user permissions and settings. This ensures that the user is properly placed within the correct team structure before finalizing their setup.
If you'd like this user to be assigned to multiple teams, simply select each team you want them to be part of.
All selected teams will share the same user permissions you’ve just configured in the previous steps. This makes it easy to apply consistent access across teams without needing to duplicate setup efforts.
If you do not want the user to receive an invitation email right away, you can check the box labeled “Do not send email invitation yet.”
This will add the user to the system, but hold off on sending the email until you're ready. You can send it manually at a later time.
If you leave this box unchecked, the user will automatically receive an email invitation, allowing them to access their account right after it’s created.
Once you've made your choice, click Create to finalize the user setup.
Now that the user has been added to the system and assigned to the selected teams, you can easily search for them by their email address.
Once located, you’ll see their role listed as "Custom." This indicates that the user has a custom permission set, rather than one based on a predefined template.
This is a helpful way to confirm that the user was added correctly and that their permissions reflect the custom setup you created.
At the top of the user’s profile, you’ll see a “Pending Invite” status if the invitation email was not sent during setup.
To send it now, simply click the “Resend Invite” button.
This will send the invitation email, allowing the user to access their account and get started.
