How to customize unique user permissions

In this article, I will show you how to customize unique user permissions

 

With the updated People tab, you now have the ability to customize permission sets for each individual user, beyond their assigned security role.

If your organization has multiple teams, you'll need to filter by team before editing a user's permissions.

To do this, select the appropriate team from the filter options.

 

Once filtered, simply hover over the user whose permissions you want to adjust. From there, you can open and edit their specific permission settings to better align with their responsibilities—without affecting any predefined roles.

Click Edit permissions

 

When editing a user's permissions, you now have the option to start from scratch, allowing you to create a completely unique permission set tailored specifically for that user.

 

Alternatively, you can choose to Start with a Template, using one of the preset permission sets as a starting point.

 

These templates are now completely customizable, allowing you to adjust permissions as needed to fit the user’s role.


You can also create new templates to standardize custom permission sets for future use.

 

You also have the option to make the user a System Admin, which will grant them full access to all features and settings across the platform.

 

When starting from scratch, you’ll be able to specify exactly which permissions you'd like to grant the user throughout the system.

You’ll see options grouped by key areas of the CRM, including:

  • 🗂️ Projects

  • 🏢 Companies

  • 👤 Contacts

  • 📋 Project Management 

 

If you check this box, it will automatically expand all available permission sections, allowing you to quickly view and manage all assignable options without having to open each one individually.

 

Under Project Permissions, you can assign access levels for the following actions:

  • View

  • Edit (includes the ability to create new projects)

  • Delete

  • Export (from the project page)

Each of these actions includes the following access scope options:

  • All – Gives access to every project in the system.

  • Assigned – Limits access to projects the user is directly assigned to.

  • Reports To – Grants access to projects assigned to users who report to them (useful for manager roles).

  • Unassigned – Allows access to any projects that currently have no user assignments.

For both Edit and Delete permissions, you also have the option to select None.
This is useful if you do not want the user to have any ability to edit, create, or delete content within the system.

You can select one or more of these scopes depending on the level of access the user needs.

 

The same applies to Company, Contact, and the Project Management section as well.
You can assign View, Edit, Delete, or None permissions as needed for each area, ensuring consistent and customizable access control across the system.

 

Reporting refers to access to the Reports tab. This setting allows you to specify whether a user has permission to export and run reports, or no access to reporting functionality at all.

 

ERP Integration applies if your team uses an ERP integration with Followup. You now have the ability to define exactly what each user is allowed to do within that integration.

There are three available permissions:

  • Connect: Allows the user to push a project, company, or contact to the ERP for the first time.

  • Update: Grants permission to make updates to a record that has already been connected to the ERP.

  • Sync: Enables the user to pull or sync information from the ERP into Followup.

You can assign any combination of these permissions to tailor user access. For example, you might allow a user to only Sync information from the ERP but restrict them from connecting or updating records.

These permissions apply to the Project, Company, and Contact sections of the platform.

 

Company Settings allows you to grant users specific access within the Company Settings area. For example, if you only want a user to access Required Fields and Proposal Settings, you can check only those two options. This will limit the user’s access to just those sections, preventing them from accessing other areas of the company settings.

 

Enterprise is for teams within the Enterprise plan, where multiple teams are connected within the system. If you want to grant a user access to all teams they belong to and allow them to switch between teams, check this box. If you don’t want them to have this access, leave the box unchecked.

Important: This setting is only relevant for users who have access to the People Tab, where global access is managed. If a user doesn’t have access to the People Tab, this option doesn’t apply. Once all permissions are set, click Update to save the changes.

 

The system will now display "Custom" next to this user, indicating that they have unique permissions that do not align with any of the pre-existing presets.

 

For an enterprise team, the Teams tab will be enabled. A user with global access can click on the Teams tab, allowing them to view multiple teams they are part of. From here, they can access information about those teams' users and make any necessary adjustments.
