How to Use the Kanban Layout on the Projects Page

The Kanban layout is a powerful new way to visualize and manage your projects. This guide walks you through using the Kanban view step by step.

 

🧭 Accessing the Kanban View

  1. Go to your Projects page.

  2. At the top right, you’ll now see two toggle buttons:

    • The list view (default).

    • The Kanban view (new 🟦 grid icon).

  3. Click the Kanban toggle to open your projects in a Kanban-style layout.


🔍 Filtering Projects

  1. Use the familiar filter bar at the top to narrow down what you see.

  2. Filter by user – By default, this shows your projects only. To see projects across your company:

    • Click the user filter.

    • Type and select “Company” to see all projects, regardless of owner.

  3. Filter by subgroup (optional):

    • You can add a second grouping layer by choosing a subgroup field, such as Account Manager. - Please note that for Group, there's only one option to select: "Sales Status"

    • The Kanban will now display swim lanes for each subgroup under the main statuses.


🗂 Navigating the Kanban View

  • Projects are grouped by Sales Status (e.g., New Lead, Active Bid, Contract).

  • If you’ve added a subgroup, each status column will be split by that subgroup (e.g., Account Manager).

  • You can scroll horizontally to see more statuses.


🔄 Moving Projects

  • To move a project:

    1. Drag and drop the project card to a different status or different swim lane.

    2. The project will update automatically based on its new position.


📉 Collapsing Columns

  • To reduce clutter, you can collapse columns you don’t want to view.

  • A count will show how many projects are hidden in each collapsed section.

  • Click to expand any collapsed column again.


💾 Saved Preferences

  • Any filters or layouts you apply will be remembered automatically.

  • When you navigate away (e.g., to the Calendar), your preferences will still be there when you return.

  • To change your default view back to the list:

    1. Click the list view toggle.

    2. This becomes your new default.


➕ Adding a Project in Kanban

  1. Hover under the column (Sales Status) where you want to add a new project.

  2. Click “Add Project”.

  3. A new project form opens, pre-filled with:

    • The selected sales status.

    • The correct subgroup (if a subgroup like Account Manager is active).

This makes data entry faster and reduces errors.


⏬ Loading More Projects

  • Each column loads up to 100 projects by default.

  • If there are more, click “Load More Projects” to see the next batch (up to 100 at a time).

  • This helps improve performance while still giving you access to all your data.

  • You can keep clicking “Load More” until all projects are visible.

🎛 How to Customize Your Kanban View

 

The Customize button on the Kanban board allows you to personalize the look and functionality of your project cards and columns. Here’s a breakdown of what you can do in the Layout Options panel.


⚙️ Accessing the Customize Panel

  • Click the Customize button at the top of the Kanban board.

  • A panel will slide out from the right-hand side titled Layout Options.


🧾 Adjusting Card Size

  • Choose between Small, Medium, or Large card sizes.

  • Smaller cards allow for a more compact board view, while larger ones make content easier to read at a glance.


💬 Enabling/Disabling Project Comments

  • Toggle the Project Comment switch to show or hide the 💬 Comment icon on project cards.

  • When enabled:

    • Click the comment icon on any card to view or add comments directly from the Kanban board.

    • A panel opens showing recent comments.

    • Add a new comment and click Save.

  • If disabled, the icon will be hidden from all cards.


↕️ Sorting Your Projects

  • Set how your projects are sorted on the board:

    • Recent Activity

    • Project Name

    • Date Created

  • Choose between Ascending or Descending order for any selected sort type.


🧩 Choosing Fields to Show on Cards

  • Decide which fields are visible on each project card.

  • Project ID is always shown (it’s locked).

  • Toggle on/off additional fields like:

    • Project Name

    • Address

    • City, State, Zip

    • Company, Contact, and User icons

  • Reorder fields by dragging them into the preferred sequence.


👁 Visual Icons for Quick Info

  • Enable small icons to display at the bottom of each card:

    • 👤 Assigned Users

    • 🏢 Company

    • 📇 Contact

  • This gives you a quick visual snapshot of who's involved in each project without opening the full record.


🪜 Customizing Column Layout (Sales Statuses)

  • Scroll down to the Board Layout section.

  • Drag to reorder sales status columns.

  • Use checkboxes to hide any statuses you don’t want shown on your Kanban board.

  • This helps declutter your view and focus only on the stages relevant to your workflow.


💾 Saving Your Customizations

  • Once all changes are made, scroll to the bottom of the panel and click Save.

  • The page will refresh with your updated layout applied.

  • Changes include any card field updates, sorting changes, or column visibility.


✅ Viewing Your Updated Board

  • Your project cards will now reflect the selected field layout (e.g., Address now visible).

  • You can click anywhere on a card to open the full project — no need to click just the Project ID.
